Search for Card Holder Records

The Search Card Holders page acts as the hub to access card holder records and conduct user-defined searches to perform card holder record maintenance.

About Conducting a Card Search

You may use a single field or multiple fields to conduct your card holder record search.

In text boxes, you can enter either the full name or the full number or a partial string of alpha or numeric characters. As an example, if you wanted to list all card holders whose last name has the letter M, type M in the Last Name field. When you select the Find Cards button, the search results will show all card records that contain an M anywhere in the last name.

Wild Cards

When performing a card holder search using the First Name or Last Name fields, please note the use of the (^) caret and (~) tilde characters as wild cards.

Navigate Multiple Pages

If your card search was for multiple card records, the maximum number of records displayed on the page is 10. If your search produces more than 10 records, you will see a range of numbers displayed below the Search Results heading. This indicates the total number of pages with card records from the search you performed.

The example above would indicate the search has produced a list of card records that consists of 4 pages. The following parameters apply when navigating a multiple page card search:

About Archived Cards

Archive Card(s) is an option that can be used when you wish to maintain the card holder record in the database but de-activate the card for an interim period of time. When Archive Card(s) is enabled, the card is denied access to doors and elevators controlled by the Keyscan system. A typical example for archiving a card might be when an employee is taking a leave of absence or a club member is expected to renew their membership at a later date.

When a card is Archived, it remains archived in the database until it is manually unarchived.

When you perform a search, archived card records are highlighted in red text.

Add Block of Cards

When this is selected, it opens a blank Card Holder Information page with Batch Entry Mode ON pre-selected.

Procedures

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to list. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. Select the Find Cards button.

  4. To perform another search, select the Clear Find button and repeat steps 2 & 3. Selecting Clear Find erases the fields with any previous search criteria.

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to list. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. To the right of the Sort By Field text box, click the down arrow and from the drop down list select the field for sorting the records.

  4. Select the Find Cards button.

You can also sort fields by selecting field headings after you have performed a search. Each time the same field heading is selected it displays the records in the opposite order.

You can archive a single card or multiple cards from the same card search, depending on how you format the search criteria.

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to archive. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. Select the Find Cards button.

  4. From the Search Results table, click in the box to the far left of the card record to be archived. The box has a check mark indicating it has been selected.

  5. Click on the Archive Card(s) button.

  6. From the Archive Card(s) dialog box, click on the Archive Cards button.

  7. From the dialog box listing the card records archived, click on the OK button.

  8. To return to the main page, select the Exit button on the Search Card Holder page.

You can restore a single archived card or multiple archived cards from the same card search, depending on how you format the search criteria.

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to restore for active use. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. Select the Find Cards button.

  4. From the Search Results table, click in the box to the far left of the card record to be restored for active use. The box has a check mark indicating it has been selected. Remember any archived cards are highlighted with red text.

  5. Click on the Archive Card(s) button.

  6. From the Archive Card(s) dialog box, click on the Unarchive Cards button.

  7. From the dialog box listing the card records unarchived, click on the OK button.

  8. To return to the main page, select the Exit button on the Search Card Holder page.

You can delete a single card or multiple cards from the same card search, depending on how you format the search criteria.

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to delete. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. Select the Find Cards button.

  4. From the Search Results table, click in the box to the far left of the card record to be deleted. The box has a check mark indicating it has been selected.

  5. Click on the Delete Card(s) button.

  6. From the Delete Card Holder(s) warning box, click on the Delete Card Holder(s) button.

  7. From the dialog box listing the card records deleted, click on the OK button.

  8. To return to the main page, select the Exit button on the Search Card Holder page.

  1. From the Keyscan System VII WEB Client main page, select Card Holder Database > Search Card Holders.

  2. Enter the relevant data in the appropriate field or fields, depending on the card records you are attempting to list. You can switch between General Card Holder Information fields and Optional Card Holder Information fields by selecting the tab. You can specify search criteria on both pages.

  3. Select the Find Cards button.

  4. Click on the Print Listing button.

  5. From the Card Holder Listing page, click on the Print Listing link.

  6. From the Windows Print dialog box, make the necessary settings, and then click on the Print button.

  7. From the Card Holder Listing page, select the Exit link.

  8. From the Search Card Holders page, select the Exit button to return to the main page.
